Diesel Fuel Dispenser Buying Checklist: What to Include in Your RFQ

0 comments 3 min read

A useful diesel fuel dispenser quotation starts with a clear description of the job. Tell the supplier what you need to refuel, where the equipment will operate and which components must be included. This helps you compare complete proposals rather than prices for different configurations.

1. Describe the refuelling operation

List the vehicles or machines to be served, the approximate fuel volume per visit and how many users may need access during a busy period. Explain whether the dispenser will be used at a fixed fleet depot, a farm yard or a changing work site. Include a simple site sketch if the tank, power supply and refuelling point are separated.

These details establish the operating context. They do not replace a site assessment or the installation instructions for the selected equipment.

2. Ask about the complete flow path

Request the proposed delivery rate and the conditions under which it is specified. A pump rating alone does not describe the complete installed arrangement. Ask the supplier to review the proposed hose length, nozzle, meter, filter and connection layout together.

  • State your target refuelling time and typical fill volume.
  • Provide the expected distance between the supply tank and dispensing point.
  • Ask which components are included in the quoted flow specification.
  • Request confirmation that all wetted components are suitable for the intended diesel fuel.

3. Confirm power, metering and user requirements

Describe the power supply actually available at the site. Have the supplier confirm the voltage and installation requirements of the proposed configuration before ordering. For metering, explain whether you need a basic volume display, transaction records or a wider fleet-management arrangement. Do not assume that these functions are included because a product photograph shows a display.

If readings will support commercial transactions, ask the supplier and the relevant local authority which approvals and verification procedures apply to that exact configuration.

4. Compare the scope of supply

Request an itemised quotation covering the pump, meter, hose, nozzle, fittings and any mounting equipment. Identify what the buyer must supply separately. Also ask for operating documentation, maintenance instructions, spare-parts availability and the process for obtaining technical support.

Record the proposed model and revision alongside each quotation. A lower price may reflect a shorter hose, different meter or narrower delivery scope rather than a like-for-like saving.

A short RFQ you can adapt

We need a diesel dispensing system for [site and equipment]. Typical demand is [volume and frequency]. Available power is [details], and the proposed hose reach is [distance]. Please recommend a configuration and identify its operating conditions, included components, installation requirements, documentation, delivery scope and quotation validity.

Frequently asked questions

Should I choose the highest flow rate available?

Start with the receiving equipment and workflow. Ask for a configuration matched to that application, including the hose and nozzle, rather than selecting on a single headline number.

Can the system be customised?

Discuss the required configuration, branding and quantity before confirming an order. Availability and order requirements depend on the project.
